Business Support Officer
Salary: Up to £31,000 per annum (depending on experience)
Hours: Monday to Thursday, 8:45am to 5:00pm | Friday, 8:45am to 4:00pm
Brook Street Recruitment is working on behalf are seeking an organised and proactive Business Support Officer to provide essential administrative, operational and financial support across the organisation. This is a varied and rewarding role that is central to the smooth day-to-day running of the business, supporting the delivery of company objectives while ensuring high levels of efficiency, professionalism and customer service.
The successful candidate will support property administration, office operations, finance activities, stakeholder communications, marketing initiatives and governance processes, while working closely with the Management Team and Board.
Key Responsibilities
Property Administration
- Process new tenant applications and maintain accurate tenancy records in line with company policies.
- Manage property-related administration, including tenancy agreements, occupancy records and submissions to Land & Property Services.
- Coordinate statutory inspections and compliance requirements, ensuring records are maintained on management systems.
- Monitor service and supplier contracts, supporting procurement and contract review processes.
- Oversee office facilities and equipment, ensuring cost-effective maintenance and operation.
- Record and submit monthly utility meter readings.
Office Administration
- Support the efficient day-to-day operation of the office, including supplies, records management and compliance activities.
- Produce management information and operational reports as required.
- Assist in the development and implementation of new systems and business processes.
- Organise Board meetings, prepare Board packs and take accurate minutes.
- Act as a key point of contact for internal and external enquiries, delivering excellent customer service.
- Manage correspondence and communicate professionally by telephone, email and in person.
- Maintain company records, databases and documentation in line with GDPR requirements.
- Ensure company forms, procedures and records remain compliant and up to date.
- Support the maintenance of quality accreditation's, including ISO 9001 and Investors in People.
- Provide administrative support to tenants, including post distribution, deliveries and general enquiries.
- Assist with marketing, website and social media activities in line with the organisation's marketing plan.
Finance
- Process purchase and sales invoices, payments, receipts and expenses using Xero.
- Maintain accurate financial records and audit trails.
- Support budget monitoring and the preparation of management reports.
- Produce basic financial summaries and respond to finance-related enquiries.
- Assist with financial controls and continuous improvement initiatives.
General Responsibilities
- Promote a positive, professional image of the organisation at all times.
- Comply with Health & Safety, security and risk management procedures.
- Work collaboratively with colleagues and stakeholders to support organisational success.
- Undertake any other duties reasonably associated with the role.
About You
The ideal candidate will be highly organised, detail-orientated and confident managing multiple priorities. You will possess excellent communication skills, strong administrative experience and a proactive approach to problem-solving. Experience in finance administration, property administration and using systems such as Xero would be advantageous.

Essential Criteria
- A minimum of 3 years' hands-on administrative experience gained within a busy office environment.
- Proven ability to manage multiple tasks, prioritise workloads and meet deadlines effectively.
- Strong organisational skills with excellent attention to detail and accuracy.
- Experience maintaining records, databases and filing systems in line with compliance requirements.
- Excellent verbal and written communication skills, with the ability to liaise professionally with a range of stakeholders.
- Competent in Microsoft Office applications, including Word, Excel, Outlook and Teams.
- Experience providing administrative support to senior management and coordinating meetings, agendas and minutes.
- Strong customer service skills with a professional and approachable manner.
- Ability to handle confidential information with discretion and integrity.
