Executive Support Officer - £14.06 per hour / Belfast South
Northern Ireland Medical & Dental Training Agency (NIMDTA)

NIMDTA is seeking an experienced and highly organised Executive Support Officer to provide confidential, high-level support to the Chief Executive Officer (CEO) and Director of Education/Postgraduate Medical Dean (DoE/PGMD).

This is a key role supporting senior leaders through effective diary management, meeting coordination, stakeholder engagement, report preparation, and administrative support.

Key Responsibilities

• Act as the first point of contact for the CEO and DoE/PGMD.
• Manage complex diaries, meetings, and correspondence.
• Prepare reports, briefings, business cases, and governance documentation.
• Organise senior management meetings, including minute taking and action tracking.
• Handle sensitive and confidential information with professionalism and discretion.
• Build effective relationships with internal and external stakeholders across the health and social care sector.
• Support records management, quality assurance processes, and office systems.

About You
You will have:

• Experience in a senior administrative, PA, or executive support role.
• Excellent organisational and communication skills.
• Strong IT skills, including Microsoft Office.
• Experience managing confidential information and competing priorities.
• Excellent stakeholder management and minute-taking experience.
• The ability to work independently whilst maintaining high professional standards.
