Purpose of the Role
To act as the first point of contact for all visitors and staff entering the Belfast office, ensuring every interaction reflects Lockton’s high standards. This role supports the smooth running of Reception, managing switchboard activity, assisting with administrative duties and delivering a consistent, polished and welcoming experience at all times.
Key Responsibilities
- Reception & Visitor Experience
- Welcome all visitors with professionalism and warmth, ensuring a seamless introduction to Lockton.
- Manage visitor sign-in processes and ensure guests are collected promptly from Reception.
- Maintain an immaculate Reception area, working closely with Security, Facilities and the Office Manager to uphold Lockton’s standards.
- Ensure visitors are offered refreshments and made comfortable throughout their stay.
Switchboard & Communication
- Serve as the first point of telephone contact, delivering high levels of customer service in every interaction.
- Answer, screen and route calls efficiently to the appropriate contacts.
- Handle enquiries with confidence and discretion, taking initiative where appropriate.
Meeting Room & Facilities Support
- Manage the meeting room diary, coordinating efficiently with colleagues to avoid clashes.
- Ensure meeting rooms are kept tidy, presentable and correctly set up.
- Liaise with Facilities on room maintenance, equipment needs or any issues impacting the visitor experience.
Administrative Support
- Provide general administrative support in line with Lockton procedures.
- Copy, scan and distribute documentation as required.
- Manage incoming and outgoing post, ensuring deadlines for couriers are met.
- Maintain and organise the staff kitchen area to a high standard.

Technical Skills
- Good working knowledge of Microsoft Office (Word, Excel, Outlook).
