We are looking for a Catering & Events Assistant to join our busy Facilities team within our Belfast office. This will be a varied role focusing mainly providing Catering & Hospitality for our multiple daily meetings and events within the office whilst also providing support to our Office Coordinators.

This role will focus mainly on providing hospitality for our Meetings and events. These events can range from small internal / external meetings to large events with multiple attendees and can include breakfasts, lunches and evening events.

We are looking for a Catering & Events Assistant to join our busy Facilities team within our Belfast office. This will be a varied role focusing mainly providing Catering & Hospitality for our multiple daily meetings and events within the office whilst also providing support to our Office Coordinators.
Job Duties
Catering and Events
This role will focus mainly on providing hospitality for our Meetings and events. These events can range from small internal / external meetings to large events with multiple attendees and can include breakfasts, lunches and evening events.
- Setting up rooms in preparation for meetings to include setting up plates / cutlery / napkins
- Assisting with furniture set up’s
- Making tea & coffee where required
- Ensuring rooms are stocked with milk, water and soft drinks
- Delivering catering to the rooms at required times to include sandwiches / tray bakes / hot food
- Clearing out room when meeting is complete
- Ensuring food / drinks within the office is adequately stocked to include drinks fridges, cereals, tea & coffee stations and fruit
- Setting up for and attending large events and providing support to include catering, setting out drinks in ice buckets and any ad hoc requirements
Reception Cover
- Full Reception cover 1 day per week and providing reception support to office coordinators when required
- Working with the Global team of Coordinators to ensure smooth management of the Facilities operation
- Meeting and greeting guests arriving at the office
- Signing in visitors and providing visitor passes
- Answering Switchboard
- Opening and scanning mail and receiving packages
- Booking and receiving DHL couriers
- Managing Jiras
- Ensuring the office runs smoothly and creating a welcoming environment for all
- Ensure the office is clean and tidy and flagging any cleaning issues / concerns to the Housekeeping team
- Keeping office stocked with supplies such as stationery, tissues, hygiene products
- Reporting any maintenance issues to the Facilities Manager
- Carrying out checks of meeting rooms and large spaces and making sure these are fit for purpose
- Ordering supplies & Groceries
- Experience within a catering / hospitality environment
- Excellent Customer Service skills
- Ability to prioritise workload and multi task
- Ability to perform duties, including moving furniture and setting up rooms for meetings and events
- Flexibility to work early mornings / evenings if required
- Excellent team working skills
- Previous reception experience to include answering a Switchboard
- Previous administrative experience
