The Opportunity

VANRATH are delighted to be recruiting for an experienced Office Administrator to join a well-established organisation in the healthcare sector, based in Belfast. This is an interim contract and provides a chance to work within a supportive and rewarding team environment.


This is an excellent opportunity for someone with previous office administration experience, ideally within a healthcare or similar setting, who is looking for a stable, structured role with purpose.


The Role

Working 30 hours per week across 4 days (Monday to Friday), you will be responsible for a blend of administrative, financial, and HR-related duties to support the daily operations of a busy care home.


Key Responsibilities:


Office & Reception Duties



  • Front-of-house duties, greeting visitors and handling calls

  • General administration to support the smooth running of the home



Finance Support



  • Updating time & attendance systems for payroll

  • Managing petty cash and resident funds

  • Banking duties and invoice creation for external services

  • Generating purchase orders and liaising with the finance team



HR Support



  • Coordinating rota cover, liaising with agencies and bank staff

  • Logging absence details and forwarding relevant medical documentation

  • Minute-taking during formal meetings when required


The Ideal Candidate


Essential Criteria:



  • Proven experience in a similar administrative role

  • Strong IT skills including Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • High attention to detail and excellent organisational skills

  • Ability to handle sensitive and confidential information professionally

  • Excellent communication skills - both written and verbal

  • Proactive with strong time management and multitasking abilities

  • Flexibility to work any 4 days between Monday to Friday



Desirable:



  • Previous experience in an office-based role within a care home or healthcare setting

  • Familiarity with HR and payroll administration

  • Knowledge of time & attendance systems
